Starting November 6, 2026, IU Accounts Payable will permanently discontinue paper invoice processing. All suppliers must transition to email submission or BUY.IU PO flip to maintain active payment processing. Electronic invoice submission is the best practice that prevents documents from being lost, reduces manual processing, and reduces processing errors caused by data entry.
IU Accounts Payable will no longer accept paper invoices after Friday, November 6, 2026.
Suppliers who have submitted a paper invoice within the past 180 days will receive an email announcement from Accounts Payable informing them of the change and how to submit invoices after the discontinuation date. AP staff will contact some suppliers via phone to make sure they’re aware of the change.
Invoices postmarked after November 6, 2026, will not be processed by Digital Mailroom (DMR), will not be imported to BUY.IU, and will not generate payment.
Suppliers that receive purchase orders (POs) must register as a supplier, and to register they must provide an email address. This same email address is used to access their supplier portal and submit invoices. Suppliers who need help accessing their portal should contact helpmeiu@iu.edu for support.
About 1% of invoices each month are mailed. IU receives 25,000-29,000 invoices each month. Of those, approximately 300 invoices are paper and many are duplicate submissions.
Yes. Invoices postmarked November 6, 2026, or before but received by Digital Mailroom (DMR) after November 6 will be processed as they are today.
PDF versions of invoices emailed to invoice@iu.edu will be attached to the BUY.IU invoice document. You may download or print this version for your records. If the grant requires invoices documented or otherwise notarized by the supplier, you will need to work with the supplier directly to obtain those materials.
IU Purchasing does not mail paper POs. After this invoicing change, departments will still be able to download and print a copy of the PO if needed.
