Will I still approve KFS PCDOs and upload US Bank statements to FMS?
No. KFS PCDOs are being retired on July 11, 2018. The July 10, 2018 statement is the last statement that will be uploaded to FMS. All transactions >=July 11, 2018 will go to Chrome River for reconciliation and policy audit review.
How do I know if there are P-Card transactions in my ewallet?
Cardholders receive email notification when a new transaction is added to their ewallet. You can also run the “University Paid Items” report from the Chrome River Inquiry tab to see the status of all your P-Card transactions.
Do Chrome River Delegates receive email notification when expenses are added to their cardholder’s ewallets?
No, only the cardholder receives this notification.
How long will transactions stay in my ewallet?
Transactions will stay in the ewallet until they are added to an expense report. Cardholders receive notification of aging transactions beginning at 30 days. P-Card accounts will be suspended until they are current if there are aging transactions at >=90 days.
Do my expense reports need to align with US Bank monthly statement?
No. You can create expense reports at your own pace as long as all transactions are reconciled within 30 days. This means your expense reports can have one or multiple transactions reconciled in the expense report.
Is the default object code 4190 still applied to P-Card transactions?
No. Object code mapping is automated in Chrome River. Initial mapping is based on the MCC (Merchant Category Code) applied at US Bank. You may need to further map or correct object codes to accurately reflect the purchased item/s.
What does allocation mean in Chrome River?
Allocation means “Account.” You can search for the correct account by typing the account number or account name. All IU accounts and sub-accounts are populated in real time in Chrome River.
I’m in a small department. How do I enforce segregation of duties?
Assign the Cardholder role to the employee you do not want in the P-Card Transaction Approver role. The Cardholder can assign a Chrome River Delegate to create expense reports on their behalf if needed. The Chrome River Delegate can also perform the P-Card Transaction Approver Role.
